Getting Started with RefWorks and Word

You can use RefWorks to insert citations into Microsoft Word and format papers in the citation style of your choice. There are three ways of using RefWorks to insert citations into your Word document:

  1. Write-N-Cite (plugin required outside UQ)
  2. One Line/Cite View (no plugin required)
  3. Manual insertion (the most basic method; not recommended)
1. Write-N-Cite

Write-N-Cite is a plugin which allows you to access your RefWorks library while working within Microsoft Word.

The Write-N-Cite plugin is available on computers in the UQ Library. You access it by opening Microsoft Word and clicking on the Add-Ins tab on the ribbon at the top of the screen (Windows) or or under View\Toolbars (Mac).

If you are using your own computer, you can install the Write-N-Cite plugin: see below.

Installing the Write-N-Cite Plugin

Write-N-Cite (version 4) is available for Windows and Mac. Close Word before installing Write-N-Cite.

  • Signon to RefWorks select Tools\Write-N-Cite. A new window opens.
  • Download the plugin for Windows or Mac.
  • You will now be able to access your RefWorks library references from Word.

UQ staff and students have access to RefWorks outside UQ using a group code. To install the Write-N-Cite plugin and access your RefWorks account in Word you will need the University of Queensland group code.To access the group code you must first login.

2. One Line/Cite View

If the above procedure looks too complicated, remember that you don't have to use Write-N-Cite. Use the One Line/Cite View instead.

In Microsoft Word:

  • In Word click where you would like the reference.
  • In RefWorks choose Cite { }
  • The reference will now be inserted into Word
  • Additional commands can be used for modifying an in-text citation or footnote to include page numbers
  • Clear the citation before creating your next reference
  • When all your citations are inserted save the document.

In RefWorks:

  • Click on Bibliography in the menu bar
  • If you have not already selected a style do so now by clicking on the drop-down menu Output Style and your style e.g. Harvard (University of Queensland
  • Choose 'Format Paper and Bibliography'
  • Browse to your saved Word document
  • Click on 'Create Bibliography'.
3. Manual Insertion

When using an author-date style such as Harvard or APA an in-text reference requires only the name of the author (or authors) and the year of publication (with no punctuation between the two items).
