Collaboration: using Endnote & EndNote Web

1. Endnote - group collaboration

EndNote's 'Traveling Library' feature can for be used for collaboration on group projects. All group members will need to share their formatted Word document containing EndNote citations.

Before starting check the documentation on the EndNote tool bar in Word.

Group members:
  • Create their own EndNote library.
  • Add Endnote citations in Word using 'Cite While You Write'.
  • Email formatted Word documents (with Endnote citations) to the person responsible for coordinating the final Word document and reference list.
To import the citations:
  • Open the formatted Word document/s.
  • From the EndNote toolbar in Word select 'Export EndNote' then Export Traveling Library.
  • Choose to import the citations to an existing EndNote library or create a new EndNote library. The citations will automatically be imported into the EndNote library.

2. Endnote Web - group collaboration
  1. Logon to your EndNote Web library.
  2. Click on Organize - then Manage My Groups.
  3. Select New Group and name it.
  4. Select the citations you would like to add into the New Group.
  5. Click on the arrow from the drop-down Add To Group menu.
  6. Add your references to the selected group.

To share groups:

  1. In EndNote Web, click on Organize and then on Manage My Groups.
  2. The Manage My Groups window opens and shows the groups you have created and their status.
  3. Select the Share column; check the square box to the left of the group you wish to share and choose the Manage Sharing button.
  4. Click on start Sharing this Group.
  5. The add email addresses window opens; add email addresses for those you wish to share your group with
  6. Select the button to allow the person to Read Only or Read & Write.
  7. Click Apply.

3. Transfer references - EndNote/EndNote Web

You can easily transfer references between your EndNote desktop library and EndNote Web. References can be transferred in either direction. You will need to have an EndNote web account.

  1. Open your EndNote library.
  2. If you would like to copy selected references to EndNote Web you may like to copy those references to a Group before proceeding.
  3. Select Edit, Preferences then EndNote Web.
  4. Add your email address and password for EndNote Web.
  5. Still in EndNote Library, choose Tools then EndNote Web to transfer references.
  6. Your references will now be copied to EndNote Web - it may take a few minutes.
