This document aims to provide a fairly complete list of new or changed features in version X3 of EndNote.

An eight-minute video demonstration of the new features in EndNote X3 can be viewed on the EndNote website.

The EndNote X3.0.1 patch for Windows was released in October 2009. It fixes a few bugs, provides some improvement to the Find Full Text feature, and includes the new APA6th output style (but without the modified reference types which the style uses.)

    CONTENTS

    COMPATIBILITY

      Windows

EndNote X3 will run on Windows XP (service pack 3) and Vista (32/64 bit).

For word processing, the Cite While You Write add-in will work with Word 2000, 2003 and 2007 and OpenOffice.org Writer 3.

      Macintosh

EndNote X3 will run on OS X (10.5.6). Compatibility with Snow Leopard 10.6 is proving problematic for some users.

For word processing, it is compatible with Microsoft Word 2004, 2008 and Pages '09. However some users are reporting problems with Pages '09.

    OPEN OFFICE

Cite While You Write is now compatible with the latest version of the free OpenOffice.org Writer for Windows.

The EndNote X3 add-in appears as a separate item on the top menu bar in Writer, and can also be displayed as a toolbar:

EndNote tools in OpenOffice.org Writer 3

The functions available are: Find Citations, Format Bibliography, Insert Selected Citations, Edit Citations, Unformat Citations. Citations are formatted instantly after insertion. There is no use of field codes.

If installation of the OpenOffice add-in does not occur automatically, go to the Add or Remove Programs function in Control Panel. Select EndNote X3, then click on the Change button. When the dialog box appears, check Modify, and you will see an option to install the OpenOffice add-in. Beware: OpenOffice must not be running during installation. By default, OpenOffice installs a quick launcher, which loads OpenOffice when you start up your system. Use Windows Task Manager to end any processes with the name soffice.* before installing the add-in.

The X3.0.1 patch should resolve some problems regarding integration with OpenOffice.org Writer.

    64-BIT SYSTEMS

EndNote X3 has full compatibility with the Vista 64-bit system.

    GROUPS

There is a new default group Unfiled, which contains all the references which have not been assigned to a group. You can right-click on the Unfiled group name to tell EndNote whether or not it should consider references in your Smart Groups as unfiled.

    GROUP SETS

Group Sets are a new feature which allow you to organise your groups into larger groups.

Some Group Sets are permanent and created by EndNote. Examples of these are Online Search, Find Full Text, EndNote Web.

If you are upgrading from an earlier version of EndNote, you may find that EndNote has created a Group Set called My Groups, or Best Groups, and has listed your existing Custom Groups under that heading. You may also find that a Group Set called My Other Groups has been created to list your existing Smart Groups. The X3.0.1 patch provides a new Lost and Found group set, which should allow better organization of custom groups from older versions of EndNote.

You can organise (or reorganise) your groups by creating new Group Sets. Custom Groups and Smart Groups can be included in the same Group Set: a Custom Group will have a folder icon and a Smart Group will have a magnifying glass icon.

You can create up to 500 Group Sets. To create a new Group Set, click on Groups on the top menu bar. Select Create Group Set. You will be prompted to choose a name for the set.

You can now create new groups under the Group Set heading. You can also drag and drop existing groups from other Group Sets.

Group Sets can be deleted or renamed.

    ONLINE SEARCH

There is a new icon on the Library tool bar called Copy to Local Library. This command will be useful for those working in Online Mode who want to select references retrieved from an online search and transfer them to their permanent library.

    COMPRESSED LIBRARY

The Compressed Library feature now includes two new features:

      • Compress references without file attachments. This is useful both for reducing file size and for complying with copyright regulations if sharing a library with researchers from another institution.
      • Compress only selected references, or a selected Group or Group Set. (This feature was not working properly in the original release of version X3, but the problems were rectified in the X3.0.1 patch.)

    INTERFACE

The Groups Pane now has a coloured background and icons accompany some of the items in this pane.

    FIND DUPLICATES

The References>Find Duplicates function has changed. The duplicates are now displayed in the library window, with the original reference followed by the highlighted duplicated copy or copies of that reference. This was the practice in earlier versions of EndNote, and there was considerable user demand for its reinstatement.

Additionally, EndNote now displays a dialog box where the first duplicated reference is displayed. Side-by-side panes show both the original reference and the first duplicate copy of that reference (if there is more than one duplicate copy). The user can scroll through both records and use a Keep This Record button to choose the record that should be retained. If there is more than one duplicate copy, EndNote will then display the retained record side by side with the next duplicate copy.

    SEARCH PANE

The buttons and other options are now displayed above the search boxes, to give them more prominence.

Search terms used to search your library will be retained when you change to online search (and vice versa). This removes the need to retype search terms when conducting the same search in different databases.

    CONTENT FILES (FILTERS, STYLES, CONNECTIONS)

To reduce delays when loading EndNote, the full range of filters, styles and connections is no longer installed with the EndNote software. Only a limited number of files are installed.

When users open the Filter Manager, or the Styles Manager or the Connections Manager from the Edit menu in EndNote, they now see a new button Get More on the Web. This button will connect them to the full list of files on the EndNote website. Users can then download requred files to their personal folders, as defined in the Folder Locations section of the Preferences.

    FIND FULL TEXT

We are told that the Find Full Text function will now retrieve articles from a wider range of publishers and databases.

There is now a Find Full Text group set at the bottom of the Groups pane. This is used to report on progress and results of full text retrieval. In EndNote X2, this information appeared in a footer in the library window and also in a temporary group in the Groups Pane.

Click on Edit>Preferences>Find Full Text to see a range of tools that can be used to retrieve full text:

ISI Web of Knowledge Full Text Links: This option will be useful for users who have downloaded their references from Web of Knowledge databases.

DOI (Digital Object Identifier): All users should check this option. It is no longer necessary for the DOI to be in the DOI field. As long as it appears somewhere in the EndNote record, this should be sufficient for locating full text (if the user is entitled to access full text).

PubMed Link Out: All users who import references from PubMed should check this option.

OpenURL: This option will be useful for users whose library has implemented a link resolver such as SFX, 1Cate, LinkSource, WebBridge, LinkSolver, etc. Check with your library for the OpenURL Path of their link resolver and insert this data. We are told that the SFX resolver should work better than other resolvers for finding full text through EndNote. Link resolvers are usually more successful if the EndNote records include an International Standard Serial Number (ISSN). At the University of Queensland the OpenURL Path for our link resolver is:
        http://library.uq.edu.au:4550/resserv

FIND FULL TEXT ON OFF-CAMPUS COMPUTERS

Many users will now be able to use the Find Full Text function from off campus.

In the Find Full Text Preferences, go to the Authenticate with box if you wish to access resources from off campus, using authentication other than IP recognition. You will need to insert the base URL which your library uses for off-campus authentication.

You can find this by going to your library's website from a remote location and trying to access a subscription resource. When you reach a page where you are prompted to enter credentials, copy the root of that URL.

For example, on the University of Queensland Library website the login page for the ScienceDirect database is:
      https://www.library.uq.edu.au/ezp.php?url=http://www.sciencedirect.com/science
So researchers at that institution insert the following string in the Authenticate with box:
      https://www.library.uq.edu.au/ezp.php?url=

Now when you initiate the Find Full Text operation in EndNote, you will be shown a screen on your library website where you should enter your username and password. This will redirect to another page on the library website, which may be a list of resources, or if no such list is available, it will probably be the library home page. At this point, click on the Continue button and EndNote will begin searching for full text.

    PREFERENCES

The Online section of the Preferences has been removed. It has been incorporated into the URLs & Links section.

The OpenURL Arguments are still listed in the URLs & Links section, but the OpenURL Path (the link resolver address) has moved to the new Find Full Text section.

    FIND CITATIONS FUNCTION IN WORD

The Find Citations dialog in Word now offers more options on the Insert button. There are options to Insert & Exclude Author, Insert & Exclude Year, Insert & Exclude Author and Year.

MULTIPLE BIBLIOGRAPHIES IN A SINGLE WORD DOCUMENT

Output styles now have a new section called Sections, which allows you to configure a style so that it will generate a bibliography for each section of a Word document, with the option to have a composite bibliography at the end of the document.

If you use the Word Master Document function, EndNote will treat each subdocument as a separate section. But if you do not want to use the Master Document function, just insert a section break at the appropriate locations in your Word document.

The default setting (Create a complete bibliography at the end of the document) will function just as EndNote styles have done in the past.

The setting, Create a bibliography for each section, will generate a bibliography for the references in each section, and it will insert that bibliography at the end of the section.

The setting, Create a bibliography for each section and a complete bibliography at the end of the document, will do the same thing, but it will also generate a bibliography of all references cited in the whole document, and it will insert this at the end of the document. If you are using this setting, you will probably want to amend the Layout settings on the EndNote Bibliography Options in Word to stop EndNote from automatically inserting a Bibliography Title at the beginning of each bibliography.

If you are using a footnote style, you may wish to use the option in Word that allows you to restart the footnote numbering with each section.

To use the section bibliography feature, you will normally have to edit the output style and save it (preferably under a new name) in your personal styles folder, as defined in the Folder Locations of the Preferences.

However new styles, with the Create a bibliography for each section option selected, are supplied for a few major style manuals. See the styles called APA 5th (sections), Chicago 15th A sections, Chicago 15th B (sections).

    COMPOSITE REFERENCES

Some journals (especially in the field of chemistry) use a numbered referencing system where multiple references which have been cited at the same place in the document can be assigned one reference number.

Because there may be a need to cite individual references in the composite group at a later point in the document, the individual references are identified by letter, e.g.

      references with composite citations

The Citations>Numbering subsection of the EndNote output styles now includes options to support this style of referencing:

output style settings for composite citations in EndNote X3

    GROUPED REFERENCES

There was formerly a limit of 50 references that could be cited together as a group at the same place in a document. This limit has been lifted to 250.

    DIRECT EXPORT

There is improved handling of diacritics (accents) when importing references from databases using the direct export procedure. Previously diacritics could only be imported correctly by downloading the references as a text file and filtering them manually, with the appropriate Text Translation option in the Import dialog box.

    CITE WHILE YOU WRITE PREFERENCES

The General tab of the Cite While You Write Preferences in Word now includes an option to Turn off Word's "Show Field Codes Instead of their Values" option when opening or updating documents that include citations. Presumably this option will reduce the confusion caused when Word documents suddently start displaying field codes instead of references.

The General tab also includes the version details of the CWYW addin, making it easier to check the installation.
