      What's new in EndNote X?
 
 

 

    This document aims to provide a fairly complete list of new or changed features in version X of EndNote.

    A video demonstration of some of the new features in EndNote X can be viewed on the EndNote website.

     

      An update for the Windows and Macintosh versions (EndNote X.0.2) was released in November 2006.

      The update fixes a number of bugs, but its main purpose is to provide connectivity to EndNote Web.

    COMPATIBILITY

      Windows

      EndNote X will run on Windows 2000 with Service Pack 3 (or later) and on Windows XP.

      For word processing, EndNote X is compatible with Word 2000, XP (2002) and 2003. We are told that EndNote X should be compatible with Word 2007 for Windows.

      Macintosh

      EndNote X will run on Mac OS X (10.3.9 - 10.4.x)

      For word processing, EndNote X is compatible with Microsoft Word X and 2004.

    BACKWARD COMPATIBILITY

      EndNote X is compatible with EndNote 8 and 9. Like EndNote 8 and 9, it has no backward compatibility with EndNote 7 and earlier versions.

      There is one issue to be aware of when sharing an EndNote X library with other users who have EndNote 9 or 8. If you try to open an EndNote X library in EndNote 9 or 8, you must have the DATA folder as well as the .enl file. If you do not have the DATA folder, the .enl file will open, but it will be empty. As explained below, EndNote X has a new tool which will compress the .enl file and DATA folder into a single .enlx file. This is very helpful if you are sending it to another EndNote X user, but useless if you are sending it to an EndNote 9 or 8 user. EndNote 9 and 8 cannot open an .enlx file.

      So to send an EndNote X library to somebody using EndNote 9 or 8, you must zip the .enl file and DATA folder and send the zipped archive to your colleague, who has to unzip them before use.

      There are no problems with forward compatibility. If you are using EndNote 8, 9 or X, you can still send an .enl file to an EndNote X user and the DATA folder will be successfully recreated when the .enl file is opened. Of course, if the DATA folder contains specially created terms lists, it cannot be recreated. In such cases, the DATA folder must be zipped with the .enl file, as explained above.

    UPGRADING

      A common problem that occurs in upgrading is that the Folder Locations in your EndNote preferences are carried over from the previous version. This means that you will still be accessing Filters, Styles and Connection Files supplied with the previous version. To correct this, click on Edit>Preferences and select Folder Locations. Check that the Style, Filter and Connection folder begin with the path: C:\Program Files\EndNote X\ … If not, click on the Select Folder button to select the EndNote X folders.

    ONLINE TUTORIALS

      For some years, users have been complaining about the lack of training resources available from EndNote. A set of online video tutorials, covering basic EndNote functions, is now available on the EndNote website.

    REFERENCE TYPES

      The drop down menus of reference types have now been put into alphabetical order, so instead of finding common reference types like Journal Article and Book at the top of the list, users will have to find them in the alphabetical sequence. There has long been a facility in the Modify Reference Types function to hide reference types which are not used, and thus reduce the length of the menu of reference types.

      Four new reference types have been added, but generally the output styles have not been configured to format these new reference types:

      • Ancient Text: The name of this reference type is unhelpful, because it can be used for any edited text (e.g. The Complete Verse of William Wordsworth edited by Charles Stevenson), not necessarily "ancient" texts. It will be useful in the humanities, where users have had to use the Book reference type and insert the editor (incorrectly) in the Series Editor field.
      • Dictionary: For citing an entry from a dictionary.
      • Encyclopedia: For citing an entry from an encyclopedia.
      • Grant: For citing a grant proposal.

      The reference type Electronic Source has been renamed Web Page. In most cases this will be satisfactory, but some users will have used this reference type for other electronic information sources, such as CD-ROMs.

      There have been slight changes to the Book reference type. It includes a new field Series Volume to be used for the volume number within a numbered series. Previously many users entered this data (incorrectly) in the Volume field. Other users inserted it in the Series Title field. The output styles have not been amended to format this new field. Additionaly, the Alternate Title field has been renamed Abbreviation but the purpose of this is unclear

      There has been a slight change to the Journal Article reference type. A new field has been added called Start Page. The existing Pages field remains.

      There has been a slight change to the Personal Communication reference type. The Description field has been renamed Pages. Those who have used the Description field in earlier versions should move data from this field to the new Description field, using the Change and Move Fields function.

    STORE PDF FILES WITH THE LIBRARY

      You now have the option to store your PDF files in a PDF folder, which is part of the DATA folder attached to the library.

      To select this option, click on Edit>Preferences and select OpenURL/PDF. Check the box labelled Copy new PDF files to the default PDF folder and create a relative link. Click on the OK button.

      Now when you use the Link to PDF function in EndNote, you will notice that the dialog box has a checked option Copy this file to the default PDF folder and create a relative link. This means that EndNote will copy the PDF from the existing location on your computer, and store it in the PDF folder attached to the library. When you use the Open PDF function, EndNote will open the PDF file in the PDF folder.

      Another way to link a PDF file is to open Windows Explorer or My Computer and locate the PDF file there. Reduce the size of the Windows Explorer or My Computer window so that you can view it in on the screen with your EndNote library. You can now drag and drop the PDF file to the appropriate reference in the library.

      If you cannot remember where you stored an attached PDF file, open the EndNote reference and hold your mouse pointer over the file icon in the Link to PDF field. EndNote will display a tooltip with the full path and filename of the linked file. If the file was stored in the PDF folder, only the filename will appear.

      To remove a linked PDF file, open the reference and click on the icon in the Link to PDF field to highlight it. Press the Delete key. This will also delete the PDF file if you have stored it in the DATA\PDF folder.

      Warning: If you have assigned very long names to your PDF files, EndNote may return an error message "cannot create link". Choosing shorter names for the PDF files should solve this problem.

      The Link to PDF field can be used to store other types of files, including Word documents and image files. Up to 45 files can be stored in this field.

      Upgrading from EndNote 9

      If you are working with a library that was created with a version of EndNote prior to version X, all of your existing linked PDF files are saved somewhere else on your computer. In EndNote 9, the Link to PDF field became operational for the first time. If you were using EndNote 9 and had inserted links to your PDF files using the Link to PDF field, you can easily copy these PDF files and store them in the PDF folder attached to your library.

      To copy linked PDF files to the PDF folder:

      1. Before you begin, back up your library. This change cannot be reversed.
      2. In the Library window, select all references (Ctrl+A).
      3. From the References menu, select PDF>Convert PDF Links to Relative Links.

      For each reference which contains data in the Link to PDF field, EndNote locates each linked file and copies those files into the DATA\PDF folder for the library.

    STORE WEB ARCHIVES WITH THE LIBRARY

      As well as storing PDF files, you can save web pages as web archives (.mht files) using Internet Explorer and use the Link to PDF command to store them in your DATA\PDF folder.

    COMPRESSING THE LIBRARY

      Now that the EndNote library has both an attached DATA folder and a PDF folder within the DATA folder, copying the library (whether for backup or to send to a colleague) has become more complicated. For this reason, a new feature has been introduced which allows you to compress the library and its attached folders into a single file.

      Click on File>Send To>Compressed Library and choose a folder where you wish to save the compressed library. The file extension will be .enlx. When you open a file with this extension in EndNote X, EndNote will automatically extract it to the same folder. This procedure should also work when transferring libraries across platforms between Windows and Macintosh.

    INTERFACE

      The standard toolbar includes a new Open PDF button, which will open a PDF document linked to a reference.

      In the Display Fields section of the Preferences, you can now opt to display up to eight fields in the library window. Previously only five fields could be displayed.

      When viewing a reference in the reference window, it is now possible to display only fields which contain data. This saves scrolling down through empty fields. Click the double triangle icon to toggle between Hide Empty Fields and Show Empty Fields. This setting applies to all references in the library until you click the icon again.

    SEARCHING THE LIBRARY

      The Search function offers some new search operators: Field begins with, Field ends with and Word begins with.

      The Search dialog box includes a new button labelled Insert Special. This allows you to search for tabs and carriage returns.

    CHANGE TEXT

      The facility to search for a carriage return in a library, and replace it with other characters, has been restored (it was not working in EndNote 8 and 9). Additionally, you can now search for and replace a tab. The Change Text dialog box has an Insert Special button to insert the carriage return or tab in the search box.

    CHANGE AND MOVE FIELDS

      In the Change and Move Fields dialog box there is now a button labelled Insert Special which allows you to insert a carriage return or tab.

    RTF DOCUMENT SCAN

      The RTF Document Scan function has been renamed and is now called Format Paper. It is otherwise unchanged.

    EDITING FILTER TEMPLATES

      The facility to select (Ctrl+A) a whole filter template for copying and pasting has been restored.

      To select a whole row in a filter template, click in the left-hand cell of the row, then hold down the Shift key and click in the right-hand cell of the row. If you continue to hold down the Shift key, you can then click in any other row to select all intervening rows.

    ENDNOTE WEB

      EndNote Web was released in December 2006. All institutions which have site licences for EndNote or Web of Knowledge automatically have access to EndNote Web. Users are able to set up accounts at the My EndNote Web site.

      Installation of the EndNote X.0.2 updater will install the Transfer References command on the Tools menu in the desktop product EndNote X. This will allow you to transfer references from EndNote X to EndNote Web, or vice versa. Note that you can maintain a database of references in EndNote X and a database of references in EndNote Web, but these will be separate databases. There is no automatic synchronisation between EndNote X and EndNote Web.

      Installation of the EndNote X.0.2 updater will also install the EndNote Web toolbar in Word. To see the EndNote Web toolbar in Word, select the Cite While You Write Preferences in Word. You will see a new tab labelled Application. Click on this to display the EndNote Web toolbar instead of the EndNote X toolbar. To return to the EndNote X toolbar, use the Preferences option on the EndNote Web toolbar.

      It is possible to format a Word document from both EndNote X (on the desktop) and EndNote Web, but it is necessary to select the appropriate toolbar when changing between these two products.

    KNOWN PROBLEMS IN ENDNOTE X FOR WINDOWS

      Direct Export does not work correctly with some databases (e.g. Google Scholar). To resolve this problem, download the latest version of the EndNote Import filter from the EndNote website. Save it to your EndNote Filters folder (C:\Program Files\EndNote X\Filters). This problem was fixed in the EndNote X.0.2 update.
