This document aims to provide a fairly complete list of new or changed features in version 8 of EndNote.
Windows EndNote 8 will run on Windows 2000 or Windows XP. For word processing, EndNote 8 is compatible with Word 2000, XP and 2003. Note regarding computers running Word XP: EndNote 8 is not compatible with WordPerfect. EndNote 8 can only be used with WordPerfect if documents are saved in Rich Text Format. Use the RTF Document Scan feature in EndNote, but note that, when pasting references into the document, you must use the "Paste without Font/Attributes" function in WordPerfect. Macintosh EndNote 8 will run on System OS X (10.2.x, 10.3.x). For word processing, EndNote 8 is compatible with Microsoft Word 10.1.2-10.1.6 and 2004. When installing the software, you have a choice between Typical (which is the default) and Complete installation. Select Complete if you wish to use EndNote with a handheld device. Once you have installed EndNote 8, you must download the updates. Make sure that your Internet connection is open. In EndNote, click on Help on the menu bar at the top of the screen. Select EndNote Program Updates. The updates will be downloaded and installed. During installation, you will be prompted to close EndNote. When installation is complete, you will be prompted to restart your computer. After restarting your computer, open EndNote. To confirm that the updates have been installed, click on Help|About EndNote 8.0. The splash screen should contain the text EndNote 8.0.2. Click anywhere on the splash screen to close it. Libraries created in earlier versions can be used with EndNote 8. When you open the library for the first time, EndNote will offer to create a converted version of the library, with a new name. The original library will remain intact. The references in the converted library will have the same record numbers as in the original library. NOTE: Converted libraries containing blank references cannot be opened in EndNote 8. Remove any blank references prior to conversion. Libraries created in EndNote 8 cannot be used with earlier versions. This could create problems for researchers collaborating on a paper, if they have different versions of EndNote. Styles, filters and connection files created in earlier versions can be used in EndNote 8. NOTE: However once you edit one of these files, it can no longer be used with earlier versions. Styles, filters and connection files created in EndNote 8 cannot be used with earlier versions of EndNote. If you are using Word 2000 or a later version of Word, you can open a document that was formatted using earlier versions of EndNote, and continue to add references to it using EndNote 8. The citations stored in the Traveling Library are automatically converted to EndNote 8 format. However, the manual recommends that it is better to unformat the citations before you start to add references using EndNote 8. If you have a document that has been formatted with EndNote 8, and you add references to it using EndNote 7, all of the EndNote 8 references will disappear. The screen looks much the same as in EndNote 7. The options on the menu bar are the same. Some of the icons on the toolbar have changed. There is now no limit to the number of references that can be stored in an EndNote library. However it is recommended that the number not exceed 100,000 "to maintain efficient performance managing the database". EndNote 8 supports Unicode for the encoding of non-Western scripts and other special characters. For more details, see our guide to Unicode and EndNote 8. There are nine new reference types: NOTE: The output styles supplied with EndNote 8 are not configured to format these reference types. If users enter data with these new reference types, they will have to edit the output styles, or rely upon the Generic formatting. It is not clear how or why some of these reference types (e.g. Classical Works) should be used. The Conference Paper reference type suffers from the same defects as the existing Conference Proceedings reference type: there are no distinct fields for year of conference and year of publication, and no field for place of publication. The Electronic Journal reference type has no Volume field. The Generic reference type contains the following new fields: These new fields are included by default in all reference types. NOTE: The output styles supplied with EndNote 8 are not configured to format these fields. If users enter data in these new fields, they will have to edit the output styles. Those who have used the Electronic Source reference type in earlier versions of EndNote will be accustomed to entering the date of access in two separate fields: Access Year and Access Date. The new electronic reference types require all this data to be entered in a single field: Access Date. The Electronic Resource Number field is intended to be used for the Digital Object Identifier (DOI). The Notes, Research Notes and Abstract fields can each contain up to about 10 pages of text, increased from 8 pages in previous versions. Because of a software problem, the Link to PDF field does not work. Links to PDF files must be inserted in the URL field, as in previous versions. When using the Modify Reference Types function, it is now possible to add a custom field to all reference types simultaneously by clicking on the Apply to All Ref Types button. In previous versions of EndNote, modifications to the Reference Types were stored in the Windows Registry. This meant that those modifications applied to all EndNote libraries opened on that computer, which caused problems if multiple users were using the same computer. It also made it difficult to transfer those modifications to another computer, as copying data from the Windows Registry is a rather involved process. In
EndNote 8, the modifications
to Reference Types are stored in a file in the user's Application Data
folder. The typical path is: NOTE: This is a hidden folder. To locate it using Windows XP, go to Windows Explorer and click on Tools on the menu bar, and then select Folder Options. In the dialog box, click on the View tab. In the Advanced Settings panel, under Hidden Files and Folders, check Show hidden files and folders. This new feature has two important implications: 1. If several people are using EndNote on the same computer, they can each set up their own modified reference types. 2. If an EndNote user works on more than one computer, she or he can copy the RefTypeTable.xml file and transfer it to the same location on another computer. The RefTypeTable.xml file will also be very helpful for organisations like libraries who produce modified output styles for their users. If those styles also require modifications to reference types, it was previously necessary to provide detailed documentation to users on how to modify the reference types. With EndNote 8, a modified version of RefTypeTable.xml can be made available for download, to accompany the modified output style. The RefTypeTable.xml file can also be transferred across platforms from Windows to Macintosh, and vice versa. On the Macintosh, this file is located at: user/library/application support/EndNote. In addition to the modified reference types, certain other preferences are now stored in the user's Application Data\EndNote folder. These are the words to be ignored by the Change Case function, the author and title words to be ignored by the Sort function, and the list of favourite Filters, Styles and Connection Files. As explained above, these preferences are unique to each user, even if multiple users work at the same computer. The preferences can also be copied and easily transferred to another computer. The output styles supplied with the software seem to have largely been written in earlier versions of EndNote. They are not configured to format the new reference types and fields supplied with EndNote 8. There has been one significant change to the procedure for importing references, although it will not normally be obvious to the user. In earlier versions of EndNote, the standard import options for the EndNote Import, Reference Manager (RIS) and ISI-CE formats were not carried out by filters, but were handled by special routines which formed part of the software. Thus even though EndNote 7 had a filter for Reference Manager (RIS), which could be edited, this filter did not govern how references were imported during direct export from a database which used RIS format. In EndNote 8, the filter called RefMan RIS now handles the import procedure when directly exporting from databases which use the RIS format (which is the most widely used format). This means that if there are problems with the filtering of records during direct export, it is possible to edit the RefMan RIS filter to resolve this. Similarly, if there are problems with direct export from ISI databases on the Web of Knowledge platform, the user can edit the filter called Web of Science (ISI). The filter called ISI-CE does not handle the filtering during direct export from ISI databases. The search interface looks somewhat different and is probably less cluttered. The Quick Find Indexes are no longer available. The Search dialog box now has an option Use Full Text Index. If you check this option, EndNote will search your term using automatic right-hand truncation. If you uncheck this option, EndNote will search your term using automatic left-hand and right-hand truncation. If you check the option Match Words, EndNote will search the term without any truncation. The procedure for formatting references in documents is the same as in EndNote 7. To use instant formatting with Word XP, smart tags must be enabled (they are turned on by default). In Word XP, go to the Tools menu and select Auto Correct Options. Click on the Smart Tags tab. Select the check box Label text with smart tags. In the list of Recognizers, make sure Cwyw Citation Recognizer is selected. A .DATA folder is attached to each library to store images and other linked files. In EndNote 8, the term lists associated with a library are also stored in the .DATA folder. When you set up a new library in EndNote 8, the .DATA folder is created straight away, even before you enter references. When you delete a library, you must delete the .DATA folder separately. You can delete the .DATA folder without deleting the library, but EndNote will automatically create a new .DATA folder when the library is next used. Deleting the .DATA folder will also delete your term lists. Copying a library will not automatically copy the .DATA folder. The folder must be copied as a separate action. However if you use the File|Save A Copy command, you will find that EndNote copies both the library and the .DATA folder. If a library has been deleted in error, and the .DATA folder is still intact, it is possible to recreate the library from the .DATA folder. Use a text editor (e.g. Notepad) to create a blank file with the same name as the deleted library (e.g. paleo.enl) and in the same folder as the deleted library. Open EndNote and then open the new file, and the library will be regenerated from the .DATA folder. For those exporting references in XML format, a Document Type Definition (DTD) is supplied with the software. The typical path is: C:\Program Files\EndNote 8\EndNote.dtd EndNote 8 is compatible with a much wider range of devices. It can be used on any handheld device (PDA) that uses Palm OS 4.1 to 5.x. On page 512 of the manual there is a list of some of the compatible devices, including products from Aceeca, AlphaSmart, Garmin, Palm, PalmOne, Sony, Symbol, Tapwave and Treo. There have also been some enhancements to the Search (Find) function. The Manual has a similar layout to previous editions, but the table of Reference Types and Fields is now printed as an appendix at the end of the manual, which makes it easier to locate quickly. MAJOR SOFTWARE ISSUES IN ENDNOTE 8.0.2 Listed below the major software issues that we are aware of in EndNote 8.0.2 for Windows.
