Information for Course Coordinators
New Courses and/or programs

Proposals for all new and revised courses and programs are required to include evidence of consultation with the Library. Direct consultation concerning resource implications should occur with the University Librarian and Director of Learning Services (HUPP 3.20.3).

Please contact your Librarian at least two weeks before the documentation is required for submission. This allows sufficient time to assess the ability of the Library to fully support new or revised courses and programs.

What you need to do

  1. Contact your Librarian to arrange for evidence of consultation (this takes the form of a letter from the University Librarian and Director of Learning Services).
  2. Please send your Librarian a copy of the submission, that is, Form 11 – New Course Submission, Form 2 – New field/s in existing coursework programs or Form 1 – New Coursework Program.
  3. It is useful to send a list of required or suggested resources or reading lists. Your Librarian will also work with you in identifying additional resources and library services that may be required.
  4. A letter from the University Librarian and Director of Learning Services, regarding the impact on Library resources and services, will be forwarded to the relevant Faculty Director of Studies. You will also receive a copy of the letter.

Course Materials Service

About the course materials service

The Library’s course materials service provides for the:

  • submission
  • processing
  • copyright management, and
  • access to ... individual course readings in books and journals both online and in print

Where available, it also provides links to lecture notes and online courses.

What you need to do

  • In the first instance, discuss your reading list requirements with your Librarian
  • As per HUPP 3.20.9 The Course Profile, provide reading lists to your Course Materials Service at least 12 weeks before each semester commences
  • Annotate the list with:
  • which readings on your list are required, recommended or supplementary readings
  • which readings on your list are part of course readers
  • Provide as much bibliographic information about each item as you can, including the call number

During semester, contact the Course Materials Service at any time to add additional resources.

If available, please supply bound copies of course readers and lecture notes.

How to submit Reading Lists

Send the reading list to your coursematerials-stlucia@library.uq.edu.au as an email attachment. Paper copies or material on DVD should be forwarded to the Course Materials Supervisor, Teaching and Learning Service (TALS), Dorothy Hill Engineering and Sciences Library, University of Queensland.

Turnaround time

We aim to process your reading lists as soon as possible. Lists submitted electronically are easier to process and will be ready more quickly. Lists submitted in the first few weeks of semester, when it is very busy, may take some time to process. If material is out on loan, or has to be purchased, it will take longer to process. Reading lists can be placed throughout the year which will help spread the time available for purchasing and processing material.

Copyright

The Library manages all copyright requirements for the material that it copies. Please ensure that if you are requesting the copying of material, the following policies are adhered to.

1. Online access

The University has issued a policy (HUPP 3.25.1) to manage its online copyright responsibilities under the Copyright Act and the commercial licences it signs. All UQ staff are required to read and implement the policy. The following outlines the central provisions of the policy.

1.1 Copying from licensed databases and electronic journals

  • Where possible, directly link to the Library’s extensive collection of licensed journals articles and ebook, For more details, see linking to electronic resources.
  • A limited number vendors permit the copying and storing of files on a local server. For more details, consult copying from licensed databases.

1.2 Digitised material

  • A maximum of 10% or one digitised chapter (whichever is the greater) of a book may be made available online at any one time. The limit applies to the University as a whole, not per course as for printed material.
  • All digitised book chapters must be located on the central server managed by the Library on behalf of the University
  • One digitised journal article per issue per course may be made available online at any one time
  • Access must be restricted to current UQ students and staff
  • Access to the digitised material is available from the Library’s Course Materials website, as well as the University’s elearning system

2. Print material

2.1 Book chapters

  • A maximum of one chapter may be copied in print for any one course for the period that course is being offered
  • It is not possible to progressively filter to students larger quantities from a single book

2.2 Journal articles

  • One article per journal issue, or two or more if they are from a special issue of a journal.
  • No greater quantity from a single issue may be copied for students for the duration of the course.

2.3 Entire books

  • The Library will purchase multiple copies of textbooks. On ocassions, it may be necessary for lecturers to lodge personal copies of books. The book will be held in the High Use collection and returned on completion of the course.
  • Where a book is out-of-print, it is usually possible for the Library to digitise the entire book.

2.4 Copying from licensed databases and electronic journals

It varies as to which vendors allow making a print copy of an article in a licensed product. For more details, consult copying from licensed databases.
