What is Document Delivery?
The Library's Document Delivery Service supports the UQ community by obtaining:
- material that is not held by UQ from external libraries
- journal articles from a branch library at another campus or at Warehouse (remote/external students and staff may request articles from all campuses)
The service is free (subject to a quota), although some charges may be passed on for expedited delivery (i.e. "express" or "rush" requests). All requests must be placed via the online request form and comply with copyright laws.
Who can use the Document Delivery service?
UQ staff and postgraduates are automatically registered as part of your membership of the Library. You will be assigned a "home library" for receipt of your requests and as a pick up location for your book loans.
UQ undergraduates will need to go to the loans desk in your branch library and have a "home library" allocated before using this service. Your selected "home library" will be the pick up location for your book loans and other requests which cannot be delivered online.
Remote/external students and staff will need to confirm their status as "remote" with their liaison librarian.
Staff from UQ's affiliated teaching hospitals and other eligible UQ associates, will need to register at the Loans Desk of their selected "home library" and provide an email address, before using this service. This library will be the pick up location for your book loans.
Alumni, reciprocal and community borrowers can request journal articles from UQ's closed access collections (Warehouse) at the Loans Desk of any branch library.
Unregistered users can request journal articles from UQ's closed access collections (Warehouse) through their local library or the National Library of Australia's Copies Direct service.
What can I request?
Not held by UQ: You can request any item that is related to your teaching, research, studies or employment at the University of Queensland or at one of the affiliated teaching hospitals. If you require books and multimedia published in the last 12 months, or a thesis, you should contact your School's liaison librarian. These items will be purchased from the Library Collections budget, added to the Library's collection and made available for loan.
UQ journal articles: You may request articles from journals held on another UQ campus or at Warehouse. Remote/external students and staff may request articles from all campuses. Requests for books and multimedia held by UQ should be placed via the Library catalogue.
How do I submit my requests?
Not held by UQ:
- Via Library databases
If you have used the Get it at UQ Library link in a database and the required item is not available fulltext, click on the Document Delivery link, identify yourself by entering your username and password and submit your request.
UQ journal articles:
- Click on the Request article link in the journal catalogue record
- Fill in the form
- Enter your UQ username and password OR Library username and password
- Click on Submit this request
To comply with the Copyright Act, supplying your
password that you accept the copyright declaration on the request.
How do I fill in the request form?
Please provide as much detail as possible.
- Author/Article Author
- Enter as Surname, Forename/Initials e.g. Smith, John or Smith, J.
- Title/Article Title
- This field must be completed in order to submit your request
- If you do not know the title, type "unknown"
- Appears in journal
- This field must be completed in order to submit your request
- Enter the name of the journal your article appears in, if it is not already there
- If you only have an abbreviated title, enter it in this format:
enter J. Biol. Inorg. Chem. as Journal Biol* Inorg* Chem*
- Location/Call no.
- Use when requesting copies of journal articles held at another UQ campus or Warehouse. Otherwise leave blank.
- Special instructions
- Use this field for:

Indicate acceptance of any extra charges for speedy delivery that may be incurred. If you wish to pay for it with School funds, enter the fund here.

How much may I request?
All requests are subject to copyright. In the case of copying for the purposes of research or study, the Copyright Act provides that it is fair dealing to make a single copy of a journal article, or, one chapter or 10% of a book of ten or more pages (whichever is greater).
The service is free to eligible staff and students, although some charges may be passed on for obtaining materials on an express or rush basis. The University of Queensland Library budgets for Document Delivery just as it does for book and journal purchases. Each request costs the Library at least $15. However, the budget is limited so a quota system applies. The quota includes journal articles from UQ collections and all items not held by UQ. When the maximum number of items has been acquired you will no longer be able to place requests. Limits apply as follows:
- UQ staff, teaching hospital staff, research postgraduates and coursework postgraduates - 100 items per semester
- UQ undergraduates - 15 items per semester
- External and remote students - 20 items per semester
How quickly will I receive my request?
The time taken to supply an item depends on many variables including the accuracy and fullness of the details you supply, and the time spent in transit from the supplier to the University of Queensland. All requests are processed as quickly as possible and suppliers are chosen for their reliability and speedy supply.
The following is a general delivery guide:
UQ journal articles
- Items requested from UQ collections will normally be supplied within a few days
Australian locations
- The majority of items requested from other Australian libraries will normally be supplied within 2 weeks
Overseas locations
- Some items, particularly books, may take quite some time to supply. However an increasing number of articles are being supplied by overseas commercial suppliers and/or by electronic means, and often arrive within 7 to working 10 days.
Accelerated delivery is available for a fee:
Rush - 24 hour service
- The item or a negative response is sent within 24 hours of receiving the request. Rush books can take up to 2 days to arrive.
- Cost: copies - $14.00; books - $24.00 (includes GST)
Express - 2 hour service (journal articles only)
- The item or a negative response is sent within 2 hours of receiving the request.
- Cost: copies - $27.00 (includes GST)
Methods of payment include departmental/school funds, cash or credit card. If you wish to use the accelerated delivery service (i.e. for a "rush" or "express" request, please add the payment method, and /or business unit details (including fund code) to the special instructions field of the request form and telephone the Document Delivery staff in your branch library to ensure that it is given priority. Unfortunately, accelerated services cannot be guaranteed for books requested from overseas. If the charge is significantly more than quoted above, Document Delivery staff will confirm the cost with you before placing your request.
How will I receive the material?
Copies of journal articles will be made available via the Web. You will be notified by email. Books or other material will be held for you in your branch library (you will receive notification by email).
How do I check the progress of my request?
You can check the progress of a request by viewing your Library record. Follow the same steps you would to check on your loans and holds. If there is a problem in supplying the material, Document Delivery staff will contact you. Possible reasons would be that there is a problem with the citation, the item is not available for loan, or there are charges to apply.
Can loans be renewed?
Generally, the answer is no. Most Australian libraries have moved to a policy of an extended initial loan, but no renewals. Please remember that borrowing from other libraries is a privilege, and you must return all material by the due date. The material is subject to recall at any time. Document Delivery staff will let you know if this happens.
Tips for successful Document Delivery
- Provide complete information;
- Always give the source of your citation;
- Always allow enough time for delivery; and
- Provide a date for when you no longer need the information.
