Eligibility

If you are a currently enrolled postgraduate student at the University of Queensland, your student card automatically entitles you to borrow material from any University of Queensland branch Library.

UQ students currently enrolled in non-accredited courses are welcome to apply for membership of the Library. It will cost you $11 per week for the duration of the course. Please complete the application form.

Material available for loan

You may borrow:

  • Any books, except those in special collections, such as Reference, or marked `Not For Loan'
  • Most multimedia material
  • Journals unless in a collection designated `Not For Loan'
  • Material not held in The University of Queensland Library collection. For details refer to the Document Delivery Service.

Borrowing from the library is subject to the Library Conditions of Use.

How to borrow

You can go to the Loans desk, or, in those branches that have auto loan machines, you can check out items yourself. Just bring your card and follow the instructions.

Loan lengths

The standard loan period for journals is 3 days. The standard loan period for a book is 28 days. A maximum number of 10 standard loan books may be borrowed as semester loans. Please ask staff at the loans desk to issue a semester loan.

Depending on demand, some material will be available for 7 or 3 days, overnight or for 4 or 2 hours only. Material with a reduced loan period will have an appropriate label on the spine.

All 28 day loans and semester loans are subject to recall if required by another borrower, but a minimum 7 day loan to the first borrower is guaranteed.

Number of items

A total of forty two items (any combination of 3, 7, or 28 day loans) with a maximum of two being overnight, 4 or 2 hour books. The number of loans is calculated across all branch libraries.

Renewals

All 28 day loans may be renewed, unless the item has been requested by another borrower. There is a maximum of two renewals for each item. All other loan categories are non-renewable. Your renewal options are:

  • select Loans - check, renew; pay online
  • contact the Telephone Renewal Service on (07) 3346 9200 and follow the prompts.  You will need your Library number and the barcodes of the books you wish to renew; or
  • visit a branch library and renew on the auto loan machine (where available) or ask loans staff to renew for you.

Checking loans and requests

  • Select Loans - check, renew; pay online under the Using the Library on the Library home page. 
  • You will be asked to identify yourself by entering either your UQ username and UQ password or your Library No. and Library PIN.

Requesting items already on loan or at another campus

You may request books and multimedia that are already on loan or on the shelf at another campus. For items on the shelf on your campus you are expected to retrieve them yourself. There is a maximum of 20 requests at any one time.

When to make a request

If you search the Library Catalogue, display a record and discover that the item you want is:

  • Held by a branch library on your campus and on loan
    OR
  • Held by a branch library on another campus (including Warehouse)

How to make a request

1. Click on the Request button at the top of the catalogue page.

2. Identify yourself by entering either your UQ username and UQ password or your Library No. and Library PIN.

3. Select a pickup location. Important points to remember:

  • You must select a pickup location, otherwise you will asked to enter all your details again
  • For items on loan on your campus you must pick up the item at the branch library that has the item. If you do not, the pickup location will be changed to the branch library that holds the item.
  • If you are eligible for the remote service, select Remote Service as the pickup location. The item will be mailed to you.
  • Selecting Remote Service if you are ineligible will result in your request being cancelled

4. Click on

A list of all the items the Library has of this title will appear.

5. Check the Status column at the right of the screen to decide which item will be available soonest:

  • If a copy is available for requesting, the message in the STATUS column will be:
    AVAILABLE   OR   Due Date (if on loan)
    and
    a radio button will appear in a column at the left of the entry for the item.

  • If a copy is not available for requesting, the message in the STATUS column will be:
    This item is not available for request
    OR
    This item cannot be requested

6. Select the item to request by clicking its radio button

7. Click at the bottom of the list

One of the following messages will appear:

  • If your request is successful:

    Your request for [title of item] was successful
    Your request will be delivered to [pickup location] when it is available


    You will be notified when the item is ready to be picked up.


  • If your request is successful but the item is on loan on your campus and you do not choose its location as your pickup location:

    Your request for [title of item] was successful
    Pickup location changed to [home location] due to library policy
    Your request will be delivered to [pickup location] when it is available


    You will be notified when the item is ready to be picked up. Additional requests will be cancelled as soon as the first request is filled.


  • If a copy is available on the campus you designated as a pickup location, then the message will be:
    Sorry, request cannot be accepted. Local copy is available.

8. Click on Return to Record to get back to the catalogue record.

You will be notified when the item is ready for collection. If it belongs to a branch library on your campus, the pickup location will be the item's home location. If it belongs to a branch at another campus, the pickup location will be the one you have nominated. The item will be held at the Loans Desk for 7 days only.

 

Cancelling a request

  • Under the Using the Library button click on Loans - check, renew; pay online
  • You will be prompted to enter either your UQ username and UQ password or your Library No. and Library PIN
  • Select request (hold) button
  • Click on Cancel Selected Items 

Material not on the shelf

In general, material not on the shelves is already on loan. If the catalogue indicates that the item is `available' and you are unable to find it on the shelves, check that you have written down the location and call number correctly. Then check the sorting shelves. If you are still unable to find the item, ask Library staff for help.

Recalled loans

28 day loan material is subject to recall if required urgently by another client. An email notice will be sent to you requesting that the material be returned.
  Recall Notice format

If an item that is on 28 day loan is requested by another borrower, the Library will recall the item, reducing the original borrower's loan period to at least 7 days. The new due date will appear in the top box as marked in the figure above.

You are guaranteed a loan of at least 1 week, but you must return the item by the new due date to avoid incurring a penalty of 95 cents per day.

Returning material

Whenever possible return material to the branch library from which it was borrowed.

Library notices

Borrowing notices for loans due soon, holds, recalls and overdues will be sent to your UQ supplied email account. It is important that you check your email regularly. Students who prefer their notices to be sent to a different email account can re-direct their email using the form available on the University of Queensland website at http://www.uq.edu.au/cgi-bin/forward.pl

Notices for very overdue items will be sent by Australia Post to the postal address on your mySI-Net account. Please ensure that you keep the address current.

The details of the item borrowed or requested will appear at the top of the notice, followed by your name, address, library number and date of the notice at the bottom left. The information regarding the type of notice (eg. overdue, recall, request etc.) will appear at the bottom right of the notice. It is important not to confuse the dates on the notices.

Overdue material

The aim of the Library's lending policies is to ensure fair access to our resources for all users. You can help make the borrowing service more convenient and fair for yourself and others by noting the due date of borrowed material and returning or renewing it by this date.

For very overdue material you will receive in the post a bill for the replacement of the material and a non-refundable administrative charge of $20.00:

  • 1 day after the due date for overnight, 2 or 4 hour loans 
  • 10 days after the due date for 3 or 7 day loans 
  • 21 days after the due date for 28 day loans.
The text of the message is as follows: BILL FOR NON-RETURN
As you have not returned this item we
are applying a bill for replacement. To avoid
further action please return the item NOW. A
$20 administrative charge applies regardless.


If the item is returned, the administrative charge must still be paid,
You will receive a notice in the post stating:
BILL ADJUSTMENT

An administrative charge of $20 still
applies. Please pay this within 2 weeks
to avoid further action affecting
your student record, and progress.

Administrative fees and charges are payable under the University Fee Rules. Failure to return material may contravene the University of Queensland Statute 4 (Student Discipline and Misconduct).

For the continued non-return of very overdue material, the Library will send you a letter of alleged misconduct and further action will be taken under the University of Queensland Statute no.4 (student Discipline and Misconduct).

Penalties

At the point when:

  • 14 day loans or recalled items are 7 days overdue;
  • 3 or 7 day loans are 5 days overdue;
  • Overnight, 4 or 2 hour loans are 1 day overdue,

the Library will suspend your borrowing access until the material is returned.

Overdue charges will be imposed from the due date and calculaterd according to the following rates per item

  • 14 day loans - 20 cents per item per day;
  • recalled items returned after the new due date - 95 cents per item per day;
  • 3 or 7 day loans - $2.00 per item per day for the first four days and $4.00 per item per day thereafter;
  • overnight, 4 and 2 hour loans - $2.00 per item per hour.

Laptops:

Overdue laptops attract an overdue charge of $20.00 per hour.

A bill for replacement costs will be sent after 24 hours. Borrowers who do not adhere to the terms and conditions may lose access privileges to the laptop service.

Lost laptops will attract a replacement charge of $2,500.00.

Reinstatement of access

If you lose your library access, this will be restored when:

  1. Items late by more than the defined period have been returned; and,
  2. You have made a minimum payment of $10.00 and reduced the total amount due to less than $20.00

    Please note: Individual charges are payable in full.

Remember that you can avoid all of the above by returning or renewing material on time.

Alleged misconduct

Failure to return library material may contravene the University of Queensland Statute 4 (Student Discipline and Misconduct).

A letter of Alleged Misconduct will be sent to you if you have not returned the material within 14 days of being sent a bill for non-return. Please read the letter carefully. It will give you information about the process, including the important dates by which you should act.

Payment options for library charges

Pay online
Charges may be paid online via the Internet, 24 hours a day, 7 days a week. Cards accepted are: Mastercard and Visa. To make a payment go to Loans - check, renew; pay online

In Person
Cash, EFTPOS, Credit Card or Money Order payments can be made in person at the Loan Enquiries Desk, Level 1, Social Sciences and Humanities Library, St Lucia Campus.

Payments can also be made at the Information desk at UQ Ipswich and UQ Gatton. Please contact the relevant branch to arrange the payment.

Pay by Phone
Call 3365 6629 for Mastercard and Visa payments.

Mail
Make cheque or money order payable to The University of Queensland. Mail to: Loan Enquiries Desk, Level 1, Social Sciences and Humanities Library, St Lucia Campus, The University of Queensland. QLD. 4072.

Lost or damaged material

Tell Library staff what has happened as soon as possible. You may be charged for the replacement fee, together with a $20.00 administrative charge.

Extenuating circumstances

Talk to Library staff as soon as a problem arises. You will find them prepared to listen sympathetically to genuine difficulties.
