Your responsibilities

You are personally responsible for all material borrowed from UQ Library. Responsibilities include:

  • Presenting your UQ student card on all occasions when borrowing
    (as required by HUPP 3.40.3 Student Identification Cards)
  • Checking your email regularly. (UQ students and staff: check your UQ supplied email account).
  • Checking the status of your loans in My Record
  • Returning or renewing your loans by the due date
  • Returning items if you plan to be away for an extended period
  • Returning high use items to the home branch library

Failure to comply with the conditions of borrowing may invoke penalties under the Library Conditions of Use and the University of Queensland Statute no.4 (Student Discipline and Misconduct).

Amend your record

To amend your Library record:

  • Change system-generated contact details such as your name, address and telephone number in mySI-net (students) or Aurion (staff).
  • Request substantial changes to other information contained in your Library record using this form.

How to borrow

Bring your student card and choose between:

  • Autoloan machines - you can check out items yourself
  • Loans Desk / Ask I.T. Desk

Note: Students enrolled in non-accredited courses are not eligible for a student card. You are welcome to apply for Community membership of UQ Library. It will cost you $11 per week for the duration of the course. Please complete the application form.

Renewing your loans

  • Select My Record
  • Contact the Telephone Renewal Service on (07) 3346 9200 and follow the prompts.  You will need your Library number and the barcodes of the books you wish to renew; or
  • Visit a branch library and renew on the autoloan machine (where available) or ask loans staff to renew for you.

Library notices

  • Reminders, requests, recalls and overdue notices are sent as a courtesy only. The Library is not responsible for non-receipt. To check on your loans, etc., select My Record.
  • Notices will be sent to your UQ email account. It is important that you check your email regularly.
    If you want notices sent to a different email account - login to your account on my.UQ; click on Personalise, then click on myMail.
  • Notices for very overdue items will be sent by Australia Post to the semester address on your mySI-Net account. Please ensure that you keep this address current.

Requesting items

  • Yes - books and multimedia that are already on loan or on the shelf at another campus
  • No - books and multimedia on the shelf on your home campus (you are expected to retrieve them yourself)
  • 1. From a catalogue record, click on the Request this item button at the top of the record.

    2. Identify yourself by entering your UQ username and UQ password.

    3. Select a pickup location. Important points to remember:

    • You must select a pickup location, otherwise you will asked to enter all your details again
    • For items on loan on your campus you must pick up the item at the branch library that has the item. If you do not, the pickup location will be changed to the branch library that holds the item.
    • If you are eligible for the Remote Service, select it as the pickup location. The item will be mailed to you. Selecting this option if you are not eligible, will result in your request being cancelled.

    4. Click on A list of all the items the Library has of this title will appear.

    5. If a copy is available for requesting, the message in the STATUS column will be either:

    • AVAILABLE; or
    • Due Date (if on loan)

    6. Select the item to request by clicking its radio button

    7. Click at the bottom of the list

    One of the following messages will appear:

    1. If your request is successful:

      Your request for [title of item] was successful
      Your request will be delivered to [pickup location] when it is available


    2. If your request is successful but the item is on loan on your campus and you do not choose its location as your pickup location:

      Your request for [title of item] was successful
      Pickup location changed to [home location] due to library policy
      Your request will be delivered to [pickup location] when it is available


      If you have several copies of the same title, additional requests will be cancelled once the first request is filled.


    3. If a copy is available on the campus you designated as a pickup location, then the message will be:
      Sorry, request cannot be accepted. Local copy is available.

8. Click on Return to record to get back to the catalogue record.

9. You will be notified when the item is ready for collection. The pickup point will be:

  • Your home campus - the pickup location will be the item's branch library
  • Another campus - the pickup location will be the one you have nominated

'The item will be held for 7 days.

Cancelling a request

  • Click on My Record
  • Select request (hold)
  • Select items to be cancelled
  • Click on Cancel Selected Items

Items not on the shelf

In general, material not on the shelves is already on loan. If the catalogue indicates that the item is 'available' and you are unable to find it on the shelves, check that you have written down the location and call number correctly. Then check the sorting shelves.
If you are still unable to find the item, ask Library staff for help.

Returning loans

Whenever possible please return material to the UQ branch library from which it was borrowed. If this is not possible, material may be returned to any UQ branch library or via Australia Post. For branch address details go to Locations

Recall of standard loans

Standard loans are subject to recall if required by another client. An email will be sent to you requesting that the material be returned.

You are guaranteed a loan of at least 7 days, but you must return the item by the new due date to avoid incurring a penalty of $1.40 per day.

Overdue loans and penalties

UQ Library has an overdue penalty system to ensure fair access to our resources for all users. Administrative fees and charges are payable under the University Fee Rules. Replacement costs are payable under the Library Conditions of Use.

Note:

  • Photocopies - $40 replacement fee, including $20 administrative fee
  • Equipment and room keys - replacement charges vary depending on type
  • If overdue charges reach $20, you will be suspended from borrowing
  • If you do not reduce the total charges to less than $20.00 ($10.00 minimum payment) within a reasonable time, a "Library Fines" block will be placed on your student record (my.SI-net)

Clearing your suspension

If you are suspended from borrowing, it will be lifted when you:

  1. Return all overdue items
  2. Reduce the total charges to less than $20.00 (the minimum payment is $10)

Notes

  • Individual charges are payable in full
  • Any "Library Fines" and "Disciplinary Fines" block on your student record will be removed within 24 hours (Mon. to Fri.)

Remember that you can avoid all of the above by returning or renewing material on time.

Very overdue loans and charges

UQ Library takes a very serious view of borrowers who fail to return library material or pay outstanding charges. The Library may take the following action:

Payment options

Pay online
Charges may be paid online via the Internet, 24 hours a day, 7 days a week. Cards accepted are: Mastercard, Visa and American Express. To make a payment
go to My Record.

In Person
Cash, EFTPOS, Credit Card or Money Order payments can be made in person at the Membership and Payments Desk, Level 1, Social Sciences and Humanities Library, St Lucia Campus. Note: payments cease 30 minutes before closing.

Payments can also be taken at the UQ Ipswich and UQ Gatton Campuses. Please contact the relevant branch to arrange the payment.

Make cheque or money order payable to The University of Queensland. Mail to:

Payments by another person
Someone else may pay your charges on your behalf. If you are over 18 you must authorise them to make the payment. To authorise them:


If you are under 18 your parent or guardian can pay your charges without authorisation.

Lost or damaged items

  • Tell Library staff what has happened as soon as possible
  • You may be charged for the replacement fee, together with a $20.00 administrative charge
  • Refunds will not be given after 28 days
  • If you later find the material, it remains the property of UQ Library and must be returned

Extenuating circumstances

Talk to Library staff as soon as a problem arises. You will find them prepared to listen sympathetically to genuine difficulties.
